
One of the most important things to remember during a trade show is, well, everything. Especially if your trade show location is on the other side of the country, it can be crucial that you create a check list that will organize and manage all of the necessary items that your sales and management team will need throughout the convention. Although forgetting some of these items is not as traumatic as others, there are some custom choices that will put your booth at an extreme disadvantage if these items are left at home.
Office supplies are often left at home. What is it about office supplies that for some reason, exhibit demonstrators automatically assume they will be located at their empty space? Unfortunately, this assumption can cause some last-minute panic at the booth if the team is unprepared and unorganized. No matter if you plan to use some of these items or not, it is crucial you bring the following office supplies to the trade show:
Business Cards – at the end of a conference, it’s the promotional items and business cards that prospects review to trigger their memory on all they have seen
Calculators – have at least 3 handy since calculators lost to be misplaced
Sheets of paper with the business letterhead
Notepads – roughly 2 per person in case some “walk off”
Pens – lots and lots of pens will be crucial
Promotional pens – giving away promotional pens at your booth can be an excellent way to ensure prospects recall your information at a later date and have the contact information readily available
Your entire display systems set up - Roll up retractable displays, portable pull up display banner stands , expanding pull up wall displays, brochure or flyer display stands , portable promotional counters , poster displays , hanging or free standing display banners, metal snap open poster frames , scrolling display banners.
Scotch tape – you never think you’ll need tape until you suddenly do
Stapler and extra staples – don’t forget the extra staples!
Tissues
Wastebaskets – keep extra trash bags handy just in case
Windex – during the slow times and at the end of the day, make sure the booth is fully cleaned and fingerprint-free
Appointment scheduler – the master schedule should be copied many times over to prevent these important meetings from being lost; also the booth duty schedule should be kept in the master book and other locations for the same reason
On a similar note to the office supplies, there will be a number of materials that your team will need to keep the booth at its best. Consider these items to make sure you are fully prepared and present a clean environment throughout the intense and chaotic trade show experience:
Dust busters – these little cleaners are a wonder during the trade show. You will have to find an outlet to keep it fully charged, but they can make a tedious cleaning experience a breeze and make a huge difference in the booth
Extension cords – extension cords are the items you wish you had remembered, but often forget. Electrical outlets can be far-reaching and these cords will ensure your presentation stays on target.
Dust pans and brooms – just like the dust busters, these cleaning supplies can keep things looking clean and welcome customers in by the dozens
First aid kits – even paper cuts hurt. Keeping a first aid kit nearby ensures that your team members are covered for the care they might need
Hand cleaner – your team members will be shaking a lot of hands and getting dirty. Hand cleaner keeps everybody a little healthier and happier
Power outlet strips – you have six appliances to plug in and two outlets. Unless you have a power strip, you have a serious problem. Be sure that your exhibit fuses can handle all of your electronics for maximum success (and no black outs!)
Tool kits – the more complex your booth might be, the more apt you will be to need hammers, screw drivers and other tools during the set-up and take-down of your booth.
Another personal items will make sure that your team stays on top of its game. Although you should always schedule regular breaks for rest in your booth duty schedule, these personal items can keep everyone comfortable during the hours they are in the trade show exhibit:
Bottled water – your sales team especially will appreciate fresh, cold water to soothe their throats after hours of endless talking
Breath mints – keep wrapped mints readily available for customers and sales members alike
Keep all cell phones switched to off while on duty – it’s just distracting otherwise
Aspirin – headaches and aches can be soothed with aspirin or Tylenol readily available
Comfortable shoes – don’t let your sales team show off; keep them in comfortable shoes for less impact on their legs the next day
Energy bars – in case of times of low energy, protein bars can go a long way and make intense sales and management teams feel more energized
Personal notebooks – individual notes about customers or the products can help sales and management members keep things more organized and signal cues to help them remember leads in the future
Finally, make sure that your booth is fully stocked with accessories that will make a big difference in keeping things running smoothly in the booth. By ensuring these items are present, your team will have the supplies they need at their fingertips.
